How it works

What Stoloros stores

  • Team settings: company name, language, time zone, scoring rules, competitions and rewards.
  • Members: name, work email, role and, if they choose, a nickname and an avatar.
  • CRM actions needed for points: the action type, its date, the rep, and the name of the deal or task.
  • Manager awards with their notes, challenges, and the results of closed competitions.
  • Sign-in data: sign-in links are stored in a scrambled (hashed) form, and sessions last 30 days.

What Stoloros does not store

  • Passwords: Stoloros has none.
  • The details of your CRM contacts beyond the list above.
  • The content of emails.

How it is protected

  • The database is in Ireland (eu-west-1) and the application is hosted in Dublin.
  • The Brevo API key and HubSpot access tokens are encrypted in the database.

Transparency for every member

Every rep sees exactly how their points are computed in My performance: the scoring rules for each action type in the Points breakdown, and each action in the Action log. The total always equals the sum of the details. Colleagues can see the same view by clicking a name on the leaderboard.

Example

Ben Ito works at Acme Sales, which uses Brevo with the default scoring rules.

On Tuesday at 10:42, Ben marks the task "Follow-up" as completed in Brevo. When Stoloros next reads Brevo, it stores one line:

  • Action type: Task completed
  • Date: Tuesday 10:42
  • Rep: Ben Ito
  • Task name: Follow-up

With the default rules, this line earns 10 points. Ben sees it in his Action log, and the Points breakdown shows the rate: 10 points per task completed, up to 15 per day.

Stoloros does not copy the contact linked to the task, nor any email exchanged with that contact.

Good to know

  • Deactivating a member removes their access and keeps their past actions. See How to deactivate or reactivate a member.
  • Deleting all of a team's data is not available in the app. To ask for it, contact Stoloros support.
  • Nothing logged in the CRM before the connection is read for points.
  • A nickname replaces the name on the leaderboard and in ceremonies. Managers still see the real name in Team members.

FAQ

Can my manager read my emails or my CRM contacts through Stoloros?

No. Stoloros does not store email contents, and it only keeps the CRM actions listed above.

Where is my data hosted?

In the European Union: the database is in Ireland and the application in Dublin.

Who can see my points?

Every active member of your team, managers included, with the detail of each action. Nothing is hidden, so everyone can check how points are counted.
